Talent Link Job Card Intake - Staff

Who can use it?

Any college or unit manager, or HR Partner, may complete the form.

What is it?

The Talent Link Job Card Intake form is used to collect key information about a staff position
and secure the necessary approvals to enter the role into our applicant tracking system.

How to use it?

Before You Begin

Make sure you have the following ready:

Position Information
- For new positions, first ensure the role has been properly classified. After the TDX form is reviewed and approved, the Hub or Talent Acquisition will submit the New Position Webform, which generates a position number. Once the position number is created, either the Talent Acquisition team or the Hub will submit the Talent Link job card.
- For replacement positions, confirm any updates or changes to the role with your HR Partner and the Compensation team.

Shared Services Approval (if applicable)
- If the position falls under a shared services area, obtain approval from the respective team before proceeding. Attach the approval documentation to the form.

Search Type

Choose one of the following search types:

Waived: You have a candidate in mind and are requesting to hire without a formal search. Attach the resume of the waived search candidate and the position description.
Strategic: You’d like full-cycle recruiting support (e.g., sourcing, screening, candidate communication) from the Talent Acquisition Team.
Operational: You need general support with advancing candidates and offer letters, while your team manages other aspects.

Completing the Form

Fill out all required fields.
The form includes smart logic that tailors questions based on the selected search type.
HR Partners of administrative units should add the appropriate financial contact for notification.

Routing Process

Once submitted, the form will route through the following approval chain:
Department Representative (if applicable) → HR Partner → Budget → HR (Hub or Talent Acquisition)
