UD faculty, staff and students who use the UD Exchange system for email and calendaring may need to migrate to Google. Typical reasons for migration include losing access to M365 because of retirement or graduation, ending student employment, or working for a department that requires Google use.
You can use the Microsoft Exchange Account Migration to Google form to request an account migration.
Note that those who leave UD prior to retirement or graduation are not entitled to retain a UD Google account.
General information
- Exchange accounts for retirees and students should be migrated to Google on or prior to the last date of employment or before graduation.
- Exchange email will be migrated to GMail.
- Calendar migration will be attempted but is not guaranteed. If it fails and calendar information is needed, the calendar must be manually exported from Exchange and migrated to Google.
- Contacts cannot be migrated.
- After your account has migrated, you will no longer be able to access shared calendars on the UD Exchange system, and you will no longer be able to access calendars in Microsoft Teams.
- Partial migrations are not currently possible. When an account migrates, all email will move to GMail.
- Migrations must be scheduled when UD is open the next day so that assistance is available, if need be.
- Migrations are run in the evenings, Sunday through Thursday.
- Accounts will not be migrated the evening before a holiday break.
- A one day lead time is required for migrations.
Before the migration

Delete all unneeded messages, and empty the Deleted Items folder.

Check the space in your UD Google account to make sure there is enough room for your migrated account. Keep in mind that alumni will have a 15GB Google account limit after migration, and retirees will have a 50GB Google storage limit after retiring.

After your account has migrated to Google, you will lose access to all Exchange shared calendars, public folders, shared mailboxes, and resource mailboxes that you can currently access.
During the migration

Ideally, you should be logged out of your Exchange account when the migration starts, and devices that access your Exchange account should be turned off.

Do not move email messages in your Google or Exchange accounts until after your account has fully migrated.

Account migrations can take a long time, even days, because Google throttles data transfers. UD cannot control the migration speed.

If you don’t see all your messages in Google within a day or two after the migration starts, contact the IT Support Center to check the status of your migration.
