Who can use it?
University faculty and staff may use this service to request access to approved generative AI tools for official University activities, including teaching, research, administrative work, and other work-related productivity needs.
After selecting their college or department, users will be able to request a license for one or more available generative AI tools. Some tools are centrally managed University enterprise services, while others may be department-provided pilot subscriptions that depend on local availability and funding.
What is it?
This service provides a single request path for generative AI licensing. It allows users to request access to University enterprise AI tools as well as department-supported AI pilot subscriptions, where available.
Available license options may include:
- Microsoft Copilot - available regardless of the selected college or department.
- Google Gemini - available regardless of the selected college or department.
- ChatGPT Business Subscription - available only if the selected college or department provides this pilot service.
- Claude - available only if the selected college or department provides this pilot service.
Generative AI tools differ in features, data-use limits, cost, billing model, account management, and availability. Users should select the tool that best fits their intended University work and follow all University data, privacy, security, records, accessibility, and responsible-use requirements.
Enterprise tools and department-provided pilot services
Microsoft Copilot and Google Gemini are centrally managed University enterprise tools. Availability, eligibility, access, and support for these services are managed through University-wide processes.
ChatGPT Business Subscription and Claude are department-provided pilot services where available. These pilot services may be limited to specific colleges, departments, units, funding sources, user groups, or time periods. Pilot availability, cost, approval requirements, renewal terms, features, and data-use guidance may be subject to change.
Submitting a request does not guarantee access to a specific AI tool. Access depends on eligibility, service availability, licensing capacity, funding, approval, and any applicable University or departmental review.

Department-provided pilot services
Department-provided pilot services have annual per-user costs and require purpose-code billing and approver requirements. These may also include limited license pools, pilot-specific terms, or prorated charges based on the billing cycle or subscription start date.
