M365 Storage Limits

To effectively manage UD’s usage of the storage space allotted by our contract with Microsoft (M365), UDIT is implementing storage limits on Microsoft services. In determining these limits, we considered the educational, research, and business needs of the institution. The table below defines each M365 service and its corresponding limits.

Storage Limits

The limits are being enforced according to this timeline. Accounts that are currently under these limits will not be impacted by the storage limit unless a limit is exceeded in the future (in which case the impacted service will automatically go into a read-only state).

Increasing your storage limit

To increase your storage limit for any of the above services, you must meet the following requirements prior to requesting the next highest limit:

1. Use 75% of your current storage capacity. 
   1. To increase your Exchange account from 25 GB to 50 GB, you must be using more than 18.75 GB. An A3 M365 license is required to increase Exchange to 100 GB.
   2. To increase your Exchange account or Teams/SharePoint site from 50 GB to 100 GB, you or your group must be currently using more than 37.5 GB. 
   3. To increase your OneDrive account or Team/SharePoint site from 100 GB to 500 GB, you must be currently using more than 75 GB. An A3 M365 license is required to increase OneDrive to 500 GB.
   4. You will need to provide a purpose code for payment in order to increase Teams or a SharePoint site above 500 GB.
2. Submit a legitimate business or academic justification.
3. Accept the service’s best practice terms: 
   1. The storage space will not be used for for backing up data.
   2. The storage space will only be used for or storing UD business or UD course-related files.

Submit a request to increase your shared storage limit. Coming in 2025: For applicable populations, a payment option will be available to purchase in excess of 500 GB of Teams or SharePoint storage. Requests can be made in advance via this form. A valid purpose code is required for each request.

Enforcement Timeline of Microsoft Storage Limits

If you are using more than the maximum allowed limit for a Microsoft service, you will be required to reduce your storage limit (or submit payment information, if applicable) per the timeline below. 

Note: Individuals who are above the maximum allowable Exchange or OneDrive limits, and owners for Team and SharePoint sites that are over the maximum allowable limits will receive communications from UD Information Technologies concerning options and next steps.
