Create project in TDX
Ensure the following attributes are updated in the “General” section
Project Name & all other required fields
Start & End Date (tentative timing for the project)
Description
Technology Request Ticket # (if an operational project, ok to leave blank)
Actual Start & Actual Finish (the actual dates you started and finished the project)
PMO ONLY: Add PMO team as Resources
Add other project team members as Resources
Create Google Shared Drive
PMO ONLY: Add IT-PMO Google Group as a Manager
Refrain from adding individual PMO team members
Folder structure
Project Charter - Project Name
Meeting Notes - Project Name
Documentation - Project Name
Feel free to add additional folders as needed. To ensure the folders can be easily searched, PMO recommends you use the above naming convention for all sub-folders)
Update TDX Project Links section with a link to the project Drive
Save the file in the Project Google Shared Drive folder
Add a link to the Project Charter in the TDX Project Briefcase
Create a Project Plan in the TDX Project
Take advantage of the “PMO Project Template” when creating a Waterfall Plan
Include Milestones
Ongoing Tasks
Utilize the PMO Monthly Project Update template to provide a project update at least once a month (include updating the Project Status, Health, and Percentage Complete)
It is recommended to capture meeting minutes for each of your meetings and share a summary with the attendees
There is no set format for Meeting Minutes
Meeting Minutes should be saved in the Project Google Drive Meeting Notes folder
For ease of file organization and searchability within your Project Google Drive, it is recommended to use the naming convention of YYYY.MM.DD - Project Name - Meeting Subject for each file name (Example: 2021.02.13 - Onboarding Project - Kickoff Meeting)
