Objective
Technology standards are developed collaboratively by Information Technology Leadership Council (ITLC) members, representing IT professionals across the University and the technology needs of the UD community. The objective of these standard configurations is to normalize technology purchases and support employees working in a variety of ways.
Purchases based on defined standards allow the University community to participate in discounted purchases across UD while helping secure the University's physical and data assets.
Choosing the Right Laptop Configuration
UD standard laptop configurations are designed to meet the needs of most employees and provide a consistent, supported technology experience. Before ordering, consider how you use your laptop, how often you carry it, the screen size and features you prefer, and how the device will fit into your workspace.
Most employees will be well served by a standard laptop for everyday work such as Microsoft 365, email, web browsing, Teams or Zoom, and routine multitasking. A performance laptop may be appropriate for roles that regularly require specialized or demanding applications, large files, data analysis, development tools, virtual machines, video editing, GIS, CAD, or similar workloads.
You should also consider factors such as screen size, portability, a built-in number pad, specialized features, and accessories such as monitors, docking stations, keyboards, or privacy screens. Your work style and workspace may help determine which options are most practical.
For a plain-language guide to selecting the configuration and accessories that best fit your work, see Things to Consider Before Ordering Your Laptop.
Pricing
Due to frequent fluctuations in price, we have provided a range for each item based on recent price information. The actual price will be determined when you receive your quote.
Need to Buy in Bulk?
For bulk orders, add a note to your request asking for a bulk purchase quote. We’ll reach out to you with the next steps.
Dell's bulk buying window allows you to receive a larger discount for orders of 25 or more. The bulk buying window usually opens each year in May and closes around mid-July.
Recommended Laptop Configurations
Standard Laptop
For most faculty and staff, UDIT recommends a Dell Pro 5 series laptop with an Ultra 5 processor, 32 GB RAM, 512 GB solid-state drive (SSD), and a 4-year on-site warranty with Accidental Protection. The Pro 5 Series is designed for professional, everyday use and includes robust warranty options. Pro 5 Series laptops are available with 14-inch and 16-inch screens.
Mac Laptop
If your job requires a macOS device, UDIT recommends a 13-inch or 15-inch MacBook Air with an M5 CPU, 24 GB or more of RAM, 1 TB SSD, and a 4-year warranty. A MacBook Pro can be considered for roles that require greater computing power.
Screen Size and Weight
The appropriate screen size may depend on your work mode. Consider a smaller laptop if you work in a hybrid environment and frequently carry your laptop between locations. A larger screen may be appropriate if you primarily work at a desk and do not carry your laptop as often.
Only the 16-inch Dell options include an integrated number pad. None of the MacBook options include an integrated number pad.
Performance and Exceptions
The Dell Pro 5 Series is designed for the majority of employees who primarily use applications such as Zoom, Microsoft 365, and web browsers. If you need additional features or feel the standard laptop does not meet your computing needs, add a note to your purchase request specifying the desired configuration and the reason for the exception.
Work Modes and Technology Needs
Your work mode can help determine the technology and workspace setup that best fits your needs.
-
Fully Remote: Works primarily from a remote location. Typically requires a laptop, monitor, and headset.
-
Hybrid – Assigned Space: Works both remotely and on-site in a dedicated workspace. Typically requires a portable laptop, monitor(s), and headset. Additional equipment for a remote workspace may be appropriate.
-
Hybrid – Hoteling: Works primarily remotely with access to shared on-campus workspace. A laptop and headset are essential, with the laptop connecting to equipment at the shared workspace. Consider laptop size and weight for frequent travel. A laptop bag may also be helpful. For on-campus hoteling spaces, a 34-inch video conference monitor is recommended.
-
Fully On-Site: Works primarily on-site in a dedicated workspace. Equipment needs depend on the job function but typically include a laptop, monitor, and headset to support virtual meetings.

Submitting a Request
Before submitting a request, verify your equipment needs and compatibility. All buyers should check with the IT Support Center or their IT professional to ensure the equipment meets their needs and is compatible with the applications they use.
To begin the process, submit the Request Computer Equipment Purchase form. A UDIT representative will consult with you through your TeamDynamix ticket and provide a quote.
References and Related Policies, Standards, and Procedures
Technology standards are reviewed twice a year, or as needed. Faculty and staff should work with their assigned IT professional when acquiring technology.
Faculty and staff who interact with sensitive data assets, such as HIPAA or student information, should acquire equipment that can be managed by an IT professional at UD and follow defined University security policies and protocols.
