Technology and equipment recommendations for employees based on their work mode.

Objective

Technology standards are developed collaboratively by Information Technology Leadership Council (ITLC) members, representing IT professionals across UD and thus technology needs across UD.  The objective of these standard configurations is to normalize technology purchases to support employees working in a variety of work modes.  Purchases based on defined standards allow our community to participate in discounted purchases across UD, as well as secure the University’s physical and data assets.

 

Things to consider before ordering your laptop

Working Modes: How will you be working?

Each work option describes a primary work mode for any given faculty or staff member.  At times, individual faculty or staff might embrace any of the work options. Each of the work options has implications for technology acquisition and the security of UD’s data assets. 

  • Fully Remote (from anywhere or local):  An employee who works most of their time from a remote location.  Fully remote employees should be provided a laptop, monitor, and headset.

  • Hybrid (both remote and on-site):

    • Assigned (Dedicated Space): An employee who primarily works on-site with a dedicated space but who could work remotely for a few days in any given week. Assigned work has different technology and space implications than hoteling. A department should consider providing a monitor for a remote space as well as the assigned space. Hybrid employees with an assigned space should be provided a laptop, monitor(s), and a headset. The weight and size of the laptop should be taken into consideration for this working mode as it will be carried on and off campus. A laptop bag could also be considered.

    • Hoteling (Shared Space): An employee who primarily works remotely and has shared space available when working on-site. A laptop and headset are essential for this work mode as the employee will connect to a monitor at a hoteling station on-site. Hoteling has different technology and space implications than hybrid work. The weight and size of the laptop should be taken into consideration for this working mode as it will be carried on and off campus. A laptop bag could also be considered.
      * For an on-campus Hoteling space, we recommend a 34-inch video conference monitor which is ideal for shared work spaces.

  • Fully On-Site (Dedicated Space): An employee who works almost exclusively on-site in a dedicated space. The technology necessary for this work mode depends on the job function.  Fully on-site employees should have equipment that allows participation in virtual meetings, such as a laptop, monitor, and headset. 

Pricing 

Due to frequent fluctuations in price, we have provided a range for each item based on recent price information. The actual price will be determined when you receive your quote.

Dell’s bulk buying window allows you to get a bigger discount for orders of 15 or more. 

Note that the bulk buying window usually opens every year in May and closes around mid-July.

Laptop recommendations

For most faculty and staff, UDIT recommends a Dell Latitude 5000 series laptop with an Intel i7 processor, 16 GB RAM, 512 GB solid-state drive (SSD), and a 4-year-on-site warranty with Accidental Protection. The Latitude series is a line of Dell laptops that are specifically designed for professional, everyday use and comes with robust warranties. The Latitudes are offered with 13-inch, 14-inch or 15-inch screens.

If your job requires a macOS device, we recommend a 14- or 16-inch MacBook Pro with an M1 Pro CPU, 16 GB RAM, 512 GB SSD, and a 4-year warranty.

Screen size and weight

The desired screen size may depend on the working mode. Consider purchasing a smaller Latitude for working in a hybrid environment due to the weight and size of the laptop. A larger screen size may be suitable for those who will not be carrying their laptop as often. 

Exceptions

This Latitude 5000 series is designed for the majority of staff who work primarily in Zoom, word processing, and web browsers. If you need additional features, or feel the laptop does not fit your computing needs, add a note to your purchase request form specifying your desired laptop and the reasons for the exception.

First, verify your equipment needs and compatibility. All buyers should check with the IT Support Center or their local support contact to ensure their equipment meets their needs and is compatible with the applications they use.

Technology standards are reviewed on a twice-yearly basis, or as needed. Faculty and staff should work with their assigned IT professional when acquiring any technology. Any faculty or staff that interact with sensitive data assets (e.g., HIPAA, student information) of the University should acquire equipment that can be managed by an IT professional at UD, following defined UD security policies and protocols:
