Junk Email

You should have junk mail filtered at the Exchange server level. The server receives frequent updates and is genreally more effective at filtering junk mail than the local or Web-based Outlook client.

To use server filtering, you must turn off Outlook junk mail filtering. To turn off the junk mail filter in Outlook 2016, follow these steps:

  1. On the Home tab, in the Delete section, click the Junk icon.
  2. Click Junk E-mail Options.
  3. Click the Options tab.
  4. Click No Automatic Filtering. Mail from blocked senders is still moved to the Junk E-mail folder.
  5. Click Apply.
  6. Click OK.

To allow for server level junk mail filtering, follow these steps:

  1. Close Outlook.
  2. Log in to Microsoft Outlook on the Web (http://outlook.office.com/owa) using any Web browser.
  3. Click the Settings icon (wheel) in the top-right of the window.
  4. In the Your app settings section, click Mail.
  5. Choose Block or Allow from the left-hand column.
  6. Turn on Automatic Filtering:
    1. If it is set to Don't move email, change it to Automatically Filter and click Save.
    2. If it set to Automatically filter junk email, change it to Don't move e-mail and click Save; then change it back to Automatically Filter junk email and click Save again.

Blocking Email

You may want to allow certain email addresses never to be treated as junk email or other addresses to always be treated as junk email. You can create both a safe senders list (never treated as junk) or a blocked senders list (always treated as junk) to achieve these needs. Follow the instructions below for the type of list you want to create.

Creating a safe senders list

  1. Log in to Microsoft Outlook on the Web (OWA) using any Web browser.
  2. Click the Settings icon (wheel) in the top-right of the window.
  3. In the Your app settings section, click Mail.
  4. Click Block or Allow from the list of optionsin the left column.
  5. To add an address to the safe senders list, enter the email address under Safe Senders and Recipients list.

Creating a blocked senders list

  1. Log in to Microsoft Outlook on the Web (OWA) using any Web browser.
  2. Click the Settings icon (wheel) in the top-right of the window.
  3. In the Your app settings section, click Mail.
  4. Click Block or Allow from the list of options in the left column.
  5. To block an address, enter the email address under Blocked Senders list.

Vacation Messages

To create a vacation message, follow these steps:

From Outlook 2016

  1. Click the File tab.
  2. Click Info.
  3. Click Automatic Replies.
  4. Choose the proper Date Range.
  5. Type in teh text for an out of office message for people in your organization (Exchange Online users) and those outside (optional).
  6. Click OK.

From Outlook Web Access

  1. Log in to Microsoft Outlook on the Web (OWA).
  2. Click the Settings icon (wheel) in teh top-right of the window.
  3. Click Automatic Replies section, click Mail.
  4. Click Set Automatic Replies.
  5. Type in the text for an out of office message for people in your organization (Exchange Online users) and those outside (optional).
  6. Click OK.
NOTE: IT recommends that you do not set external auto-replies to Send Out of Office auto-replies to anyone outside my organization.

Receiving Email from a Printer/Scanner

To receive emails from your printer/scanner, you must type the email address of the printer/scanner into the Safe Sender list as follows:

  1. From Microsoft Outlook on the Web (OWA), choose Settings (wheel icon), Mail, and choose Block or Allow.
  2. In the Safe Senders and Recipients section, type the email address of the printer.scanner (for example, smithbizhub@udel.edu).
  3. Click Add.
  4. Click Save.
