Process for Purchasing Electronic & Information Technology (EIT) at UD

You must complete the following steps to ensure the University's accessibility and data security requirements are met before purchasing new technology or renewing existing technology contracts:

  1. Submit an IT Project Request, and complete the IT Security Review.
  2. Complete the Accessibility Review Process.

Each step can be completed in immediate succession without having to wait for a response after each step. The IT Project Request must be completed first so you can include the IT Project Request number in your communications to Procurement's Accessibility team. Also attach any contracts, agreements, or addendums associated with the technology to both processes.

1. IT Project Request & Security Review (turnaround time: 2 weeks)

The IT Project Management Office (IT-PMO) has developed an IT Project Request Process that creates a pathway for university members who want to solve their business need with information technology (IT) collaboration. This pathway offers clear time frames and communication checkpoints, along with consultation, IT Security contract reviews, technology expertise, and/or support from IT on projects.

Submit an IT Project Request with the following documents and completed forms:

  1. Electronic & Information Technology Procurement Form (For you to complete)
  2. Any contracts, agreements, or addendums associated with the technology
  3. HEISC Community Vendor Assessment Tool (For the vendor to complete)

Canvas LTI or other resource: Faculty members who are interested in integrating an LTI tool or other resource with Canvas, the University's learning management system, can follow a streamlined process managed by IT Academic Technology Services.

2. Accessibility Review Process (turnaround time: 2 weeks)

Complete and send the following to Accessibility Review Request Form:

  1. Electronic & Information Technology Procurement Form (which you completed for the IT Project Request & Security Review steps above)
  2. Any contracts, agreements, or addendums associated with the technology
  3. Voluntary Product Accessibility Template (VPAT) (WCAG Edition), which should be completed by the vendor.
