Pell Enrollment Intensity Locking

What:

  • Enrollment intensity is a measure of a student’s enrollment level expressed as a percentage of full-time enrollment. It is calculated by dividing the number of credits a student is currently enrolled in by the number of credits required for full-time status. For example, if a student is enrolled in 7 credits and full-time enrollment is defined as 12 credits, the student’s enrollment intensity would be 7 ÷ 12 = 58%.
  • A student's enrollment intensity by term can be found on the FA Term screen.
  • Enrollment intensity is important because it is used to prorate federal Pell grants.
  • PeopleSoft provides the option to override a student's enrollment intensity and force a certain value. SFS uses this process for standard academic terms.

When: 

  • The first run catches all students and locks the enrollment intensity.
  • Subsequent M - F runs catch any new students and locks the enrollment intensity.
  • The lock generally should be turned on before students begin enrolling in a semester. 
  • The lock should be cleared/removed before the term census date.

Where:

Why:

  • Before enrollment begins, a student’s Financial Aid (FA) Term and awards are initially built based on a projected full-time enrollment load. As students begin to register for courses, their FA Term updates from the projected full-time status to reflect their actual enrollment load.
  • Without locking the enrollment intensity, if an Operations team member adjusts a student’s award and re validates the package, the system may automatically recalculate Pell Grant amounts based on the student’s current (and possibly temporary) enrollment level.
  • Since students often make multiple enrollment changes before the start of the semester, it is not practical to prorate Pell prior to the add/drop period. Therefore, we lock enrollment intensity at full-time until after add/drop ends, ensuring Pell is only adjusted once the student’s true enrollment for the term is finalized.

How:

  • We have two different population update run controls for the spring and the fall (UDSFS_POPUP_OVRD_ENRL_INT_SPRG/FALL) to update the override flag and the enrollment intensity percentage to 100%.
  • When you want to turn on/set a reccurrence, navigate to pop update run control and select run. This will open the process scheduler request window. Make sure to adjust the settings similar to the example below and hit "OK".


     
  • The process can be put on hold or stopped through the process monitor.
