Resolving Student Login Issues in MySFSDocs

Overview

Students having issues logging into MySFSDocs (also known as CampusLogic or Ellucian Student Forms) generally run into one of two situations:

  • General Sign-In Failure: The student is completely unable to log in through Single Sign-On (SSO).

  • Error 40004 Message: The student receives an Error 40004 message immediately after entering login credentials.
     

Resolution

Before applying technical account fixes, make sure the following basic items have been ruled out:

  • Password Issues: Confirm the issue isn't just an expired or incorrect password. Students should try standard password recovery options first.
  • Browser Caching: Have the student clear their browser cache and cookies or test the sign-in using an Incognito/Private window.

Once password and caching issues are ruled out, follow the steps based on the symptom:

  • For general sign-in failures: Follow Procedure 1 (Force Student Re-Registration).
  • For Error 40004 messages: Follow Procedure 1 (Force Student Re-Registration) AND Procedure 2 (Platform Management Username Fix).
     

Procedure 1: Force Student Re-Registration

This option clears out the stored login connection for the student account. When the student signs in next time, SSO recreates that connection automatically.

Step 1: Search for the Student
Log into Student Forms (MySFSDocs). Use the search bar in the top right-hand corner to look up the student by Name, Student ID, or Social, then select the search icon.

Step 2: Go to the Account Tab
Confirm you are on the Student Profile screen. Locate the middle tabs (Account, Workflows, Activity ... etc) and click Account.

Step 3: Click Force Re-Registration
Locate and click the blue Force Re-Registration button.
(Note: If the button is grayed out or unselectable, the student has not signed in successfully at least once yet, so re-registration cannot be forced.)

Step 4: Have the Student Test Login
Ask the student to try signing in to My SFS Docs again.

 

Procedure 2: Correct Username Format (Error 40004 Fix)

Error 40004 usually happens when a full email address (e.g., username@udel.edu) was passed as the username instead of just the short username format.

Step 1: Open Platform Management
From the main Student Forms screen, click your name in the top right-hand corner drop-down menu and select Platform Management. Confirm you see 'Platform Management' in the top left-hand corner.

Step 2: Navigate to User Search
Click the General tab on the left-hand side. Under the search options, set User Type to Student.

Step 3: Search for the Student
Enter the Student ID, Name, or Social.

Step 4: Edit Username
Under the System Information box on the General tab, locate the Username field. If it displays a full email address (e.g., jsmith@udel.edu), click the edit (pencil) icon.

Step 5: Remove Email Extension and Save
Delete the '@udel.edu' portion so only the short username remains (e.g., 'jsmith'). Click Save.

Step 6: Test Sign-In
Have the student try signing in again using standard SSO credentials.
