Some centrally-managed services (i.e. Google Workspace or Canvas) allow ‘add-ons’ to enhance their existing functionality. These add-ons are often developed by third-parties and are not part of the original service and  therefore must undergo a review process before they are implemented.

Need an Add-on?

All add-on requests undergo a robust evaluation to ensure the add-on meets compatibility, security, and privacy criteria. Third-party add-ons may display advertisements, require additional terms of service agreements, have a separate privacy policy, collect data or other conditions that may change UD’s service agreements or violate UD policies. This review process is designed to identify these risks and protect the University and its data. Learn more about how to make an Add-on request and the review process.

What is involved in an Add-on request?

UDIT’s add-on request process involves an evaluation that considers the value and risks associated with each request. The UDIT team meets monthly and will look to answer several key questions about each add-on:

  • Does the add-on advance the University’s or requesting unit’s mission(s) through enhanced core, consortial or specialized functionality?
  • What is the service value of the add-on?
  • Does the add-on duplicate or replace an existing service?
  • Does the add-on raise any security, privacy, or compliance concerns? 
  • Examples:
    • What data does the add-on collect?
    • How much access does the add-on need? 
    • Do the terms of use meet UD standards?
    • If a Google Workspace add-on, is it Google Verified?

UDIT requires a Higher Education Community Vendor Assessment Tool (HECVAT) Lite or Full if available and a Voluntary Product Accessibility Template (VPAT) in order to evaluate a requested add-on. If these assessments are not provided, the request will be denied. Please review the Technology Request service page for additional details on the process and documentation required.

Add-ons are not mandated for use and so users are advised to use them at their own discretion.

Please also be aware that add-ons may not always meet every VPAT standard for IT accessibility. Users would need to accept the risk identified, or work with the Vendor directly to get the accessibility issue addressed.

These add-ons have been reviewed by UDIT and have been approved for use. Be aware that some Add-ons may incur cost–either payable by person or department.

Quickly and easily visualize your data into polished Visio diagrams within Excel. Submit a request - once approved, will be available to install within Microsoft Word*  No cost.
Microsoft PowerPoint BioRender Deliver scientific findings, share project progress, and keep stakeholders updated with confidence. 

By requesting this service, you attest that no data stored in the requested service (Microsoft PowerPoint) could be categorized as confidential or Level III, our most sensitive classification, under the Information Classification Policy.

Microsoft PowerPoint Lesson Pix Use clip art or upload photos to make custom materials Submit a request - once approved, will be available to install within PowerPoint* Cost involved. Contact Lesson Pix directly for support.
Microsoft PowerPoint Poll Everywhere Add an interactive poll to your PowerPoint presentation. Available within Microsoft PowerPoint (use Get Add-ins from the insert menu)* No cost. Note: this add-in will not work in PowerPoint for IOS at UD per a known vendor issue.
Microsoft Word Total Contract Manager (Jaggaer Contract Authoring) Improves the contract review process. Submit a UD Exchange request - once approved, will be available to install within Microsoft Word*

No cost. User must have a Contract Manager role in UDX.

Microsoft Word RefWorks Citation Manager (ProQuest) Easy to use tool for citation, bibliography and reference management Available within Microsoft Word (Menu = RCM)* Cost involved. Contact RefWorks directly for support.
Microsoft Word Mendeley Cite Mendeley Cite speeds up the process of referencing when writing, giving researchers the tools to quickly and easily insert references from their Mendeley library directly into their Microsoft Word document.  Submit a request - once approved, will be available to install within Microsoft Word*

*Any Add-ons for Microsoft applications (e.g. Word, Powerpoint, Excel, etc.) require an Exchange account. Once approved, the add-on will be available to install within 48 hours.

Add-ons vs. Extensions

An extension is a tool that you can add to your web browser to customize your web browsing experience (e.g., Google Chrome). An add-on is something that you add directly to a product like Google Docs, etc., to extend these products' capabilities and functionality. Extensions do not need to be approved.

In most cases, UD does not provide technical support for these add-ons. Please reach out to the vendor directly for support. In the cases where UD does provide support, that information is listed in the ‘installation’ column above.
