Additional Assignment? If your hire is an Additional Assignment, skip Steps 1–3 and submit an Additional Assignment form.
Step 1: Criminal Background Check (No action needed by department)
- The Student Employment team launches the CBC the day after offer acceptance. A CBC Request Form is not required.
- When the CBC is cleared, the student's status and the Onboarding Dashboard will be updated, and the I-9 Verifier listed on the Offer Card will be assigned the I‑9 via email.
Step 2: Department Hire Form
- Inform the person in your department who manages onboarding to complete the Department Hire Form. This step ensures the student is added to the Onboarding Dashboard.
- If the Student Employment Office has confirmed work‑study eligibility for the student, ensure that is it properly reflected on the JED.
Step 3: Onboarding
- The student must complete all onboarding before their first day. If onboarding is not completed, the student cannot work.
- After the Department Hire Form is submitted, the student receives an auto‑generated email from hr‑onboard@udel.edu with the subject “Complete Your UD Employee Onboarding.” The forms include:
- W‑4
- Direct Deposit
- Bayh‑Dole Agreement
- Employee Demographic Data
I‑9 verification
Step 4: Final status updates
- After the above are complete and the CBC is cleared, the student’s applicant moves from Offer Accepted → Hired. Your requisition will show the Hired status, and your onboarding dashboard will reflect completion items accordingly
