Introduction

Personal Webex voicemail can be accessed through the Webex User Portal, the Webex app, or by calling into the Webex Voice Portal (3028317555). Group Webex voicemail can be access from the Webex Voice Portal.

Personal and Group Voicemail

Voicemail setup, use, and menus will depend on whether you are using a personal or a group voicemail box.

  • Personal lines that are set up for individuals have a personal voicemail box. 
  • A workspace/phone (not tied to one user), hunt group, or queue will have a Group voicemail box.

Personal Voicemail

Personal voicemail boxes are for individual users. You must create a PIN in the Webex Settings Portal to access a personal voicemail box. A PIN only needs to be set up the first time you access a voicemail box, or when you have forgotten your PIN and need to reset it. 

You can listen to and manage your voicemail messages via the Webex User Portal, the Webex app, or calling the Voice Portal.

  • Voicemail notifications will be e-mailed to you via a .wav file.
  • Messages will also be transcribed.
  • Deleting these emails will not delete the voicemail from the system.

Voicemail in the Webex User Portal

  1. Go to https://settings.webex.com.
  2. Log in using your UD email address (example@udel.edu). When redirected to the Central Authentication Server, fill in your UsernamePassword and 2FA
Set your PIN: Once at the Webex User Portal screen, click Reset Voicemail PIN, and then click the Webex Calling tab.

If you have already set your PIN, just click the Webex Calling tab.

Voicemail in the Webex App

  • Open the Webex App and select the Voicemail icon from the left navigation menu. 

A PIN does not have to be set to access voicemail through the Webex app.

Voicemail through the Voice Portal

  1. Call into the Voice Portal (3028317555) from the Webex app (or phone, if you have a phone assigned to you). Enter your PIN, followed by #
  • If calling from your cell, you will be prompted for your mailbox number. Enter your number (302831xxxx), followed by #, then your PIN, followed by #.
  • If calling from a phone that has a different number, the VM system will think you are trying to access the VM for that phone. To access your VM, hit *, then your mailbox number, enter your number (302831xxxx), followed by #, then your PIN, followed by #.
  1. If this is the first time that you are accessing the voicemail box, you will be prompted to set up your personalized name. You can then follow the prompts to customize your busy and no-answer greetings. 

Personal Voicemail Menus

Main Menu: Press 1 to access your VM box (this allows you to access your messages, as well as modify your mailbox greetings)

Main Menu: Press 3 to access your greetings menu (allows you to record or re-record your name)

Group Voicemail

A Group voicemail box is associated with a workspace/phone (not tied to one user), hunt group, or a queue.

 

Call in to the Group Voicemail Portal

Telephone Services will provide the Voicemail group mailbox number and PIN. If you do not have this information, email telephone-services@udel.edu or call 3028312411.  

Call into the Voice Portal (3028317555), hit *, then your mailbox number (a 4-6 digit VM group number that is that is usually 55xxxx, which is typically the last 4 digits of the actual phone number), followed by #, then your PIN, followed by #.

Use the following options:

Main Menu: Press 1 to access your VM box (this allows you to access your messages, as well as modify your mailbox greetings).
VM Box submenu
Press 2 for busy greeting
Press 3 for no answer greeting
Press 4 for extended away greeting
Press 5 to compose/send new message
Main Menu: Press 3 to access your greetings:

Press 1 to record name
Main Menu: Press 8 to change your passcode
Press # to repeat the options
Press * to return to the main menu

 

Group Voicemail Notifications

There are two options for group voicemail notifications. To change your current Group Voicemail notification option, contact Telephone Services at telephone-services@udel.edu.

Option 1 (default): You will not be notified that your group Voicemail box has received a message. You will need to call in to access and delete your messages. If you provide an email, please note that your email notification will not have the actual .wav file of the voicemail. It will only be a notification.

Option 2: You can provide an email address (can be a shared mailbox or Google Group) so that voicemail messages will be delivered there and will include a .wav file of the voicemail. The messages will not be stored in the voicemail system. Once you delete the email, the voicemail will be deleted. If you choose to send voicemail messages to email, test immediately after this option has been set to verify that voicemail messages are successfully received in email.

If you direct voicemail messages to a Google Group, you must set the Group's settings so that Anyone on the web can post to the Google Group. Otherwise,the voicemail messages to the group will bounce and cannot be retrieved.
